Here at mcgarrybowen, we're currently hiring for an Administrative Assistant (Production). We are looking for a responsible, dedicated and personable Production Administrative Assistant with a proactive manner to perform a variety of administrative tasks in support of the Content Production Department. Duties of the Administrative Assistant include providing support to our managers, assisting in daily office needs and managing our team’s general administrative activities. Reports to the Administrative Supervisor and Production Team.



  • Answer phones, taking messages, directing calls as necessary
  • Receive and directing visitors
  • Maintain calendars and schedule meetings
  • Book conference rooms, order food for meetings
  • Book travel and transportation reservations
  • Creating spreadsheets and presentations
  • Prepare monthly expense reports
  • Support managers in setting up freelance staff and new full-time hires
  • Manage incoming/outgoing mail and packages
  • Receive producer assignment requests, distributing and maintaining information per our Jot form system
  • Keep updated process documents and distributing to staff as needed
  • Maintain department status reports and publishing reports on a weekly basis
  • Upload final content files to mbhive on a regular basis (following up with producers for content per status reports)
  • Maintain and update freelance staff contact lists and keep a record of available and hold dates
  • Maintain and update vacation requests and document approvals, keeping a current calendar of ‘Out of Office’ dates
  • Maintain “best practices” documents (as provided by management for specific accounts and keep up to date files of such docs at the ready for distribution when needed)
  • Fill-in for Receptionist as needed
  • Aid in the processing of IT requests


The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, proactive, detail oriented and organized with a positive attitude. Assuring a steady completion of workload in a timely manner is key to success in this position.


Candidate must be proficient in the following:


  • An interest in production, social media is a plus!
  • At least 1 year of administrative experience
  • Must be proficient in MS Office (Word, Excel and PowerPoint)
  • Must be proficient in Keynote and media formats such as quicktimes, etc.
  • Excellent written and verbal communication skills
  • Ability to work with many different personalities
  • Positive attitude, motivated individual
